Hello everyone,
We're facing a recurring issue with our Looker Studio setup and are looking for some guidance.
We have a series of Looker Studio reports that visualise data from an AppSheet data source. To improve performance, we use an "Extract Data" source in Looker Studio, which acts as a cache. This data extract is scheduled to refresh automatically once every 24 hours.
The data flow is: AppSheet -> Looker Studio "Extract Data" (daily refresh) -> Looker Studio Reports.
Over the last year, the daily data extraction has been failing more and more often. When it fails, it seems the AppSheet source provides no data during the refresh process. This leaves our reports empty for the next 24 hours until the next scheduled update.
We have a manual workaround where clients can press the "Save and Extract" button in the "Extract Data" source settings. This usually fixes the problem for the day, although it sometimes requires multiple attempts.
The failures are intermittent, and we've recorded them on the following dates:
The only change we've attempted is adjusting the scheduled time of the daily refresh, but this has had no noticeable effect on the frequency of failures.
What could be causing these intermittent data extraction failures between our AppSheet source and Looker Studio? We would appreciate any suggestions on how to diagnose or resolve this.
Thank you for your help!
Note: I am aware that there have been related outages, but based on this status, they should be fixed - https://www.google.com/appsstatus/dashboard/products/FWjKi5U7KX4FUUPThHAJ/history
Update 2025.06.12
When manually testing the data extraction to the cached data source, I have managed to get the following exception twice on the "Extract Data" data source side:
Sorry, we encountered an error and were unable to complete your request.
Error ID: e1fb7a5f
For the last few days, number of AppSheet users are experiencing the slowness in sync for all the apps and the failure in AppSheet server is suspected. However, the AppSheet support team is allegedly responded back to some users that the AppSheet Server is in good health.... However , we dont believe so.
The connecting (refreshing the extract from AppSheet as data source from Looker Studio) could be reasonably explained that the reason of that failure is sharing the same root cause. Due to slowness of AppSheet server response, it is possible the TIMEOUT event happened which could be potentially led to the failure to extract the data from the source in Looker Studio.
Out of my speculation alone.
We have several weeks getting Unable to fetch app definition Error.Error Data table 'xxxxx' is not accessible due to: A connection was successfully established with the server., but then an error occurred during the pre-login handshake. (provider: TCP Provider, error: 35-An internal exception was caught).
The response we get from Appsheet support is that since they cannot replicate and all is fine.
Hei!
Now it consistently fails 1-2 a week. Our end-users are quite annoyed about it.
It would be awesome if someone would take a look at it. In the meantime, we are investigating ways to get rid of the AppSheet data source in favour of an SQL one, but this is proving to be complicated, and we need to manually update 60+ reports.
