GMAIL - can the cc button be restricted or removed

Hi all,

I have just joined this community because i have a problem and wondering how to resolve it.

We occasionally send emails to multiple recipients. Sometimes we use the cc button instead of the bcc button and so inadvertently send email addresses to those that shouldn't have them. We therefore break Data protection/GDPR rules.

How can I change GMAIL to either remove the cc button or control it by outputting a dialogue stating that there are cc entries and asking do I really want to use cc and suggest bcc instead.

We are a small charity/non profit with 3 employees and have very few resources.

Thanks

Hi @DaveC :

If youโ€™re sending the same email to a lot of people, it sounds to me like creating a Google Group rather than just BCCing everyone might make more sense. See https://support.google.com/a/users/answer/9282667 to learn the basics, and https://support.google.com/groups/answer/2464926#zippy=%2Csettings-reference for all the details, especially the โ€œwho can postโ€ and โ€œwho can view membersโ€ settings there.
Hope that helps!

Ian

Definitely, and if there's group membership better managed by non-admins, you can assign a group Manager and allow them to add/remove members directly.

Hi, thanks for the very quick response.  Yes, having a Google Group would make sense if the recipients of the email were always the same.  However, we don't have static groups. We need to have the ability to compose emails with varying recipients who should not receive details of other recipients. Bcc is the ideal solution and does work for us. However, occasionally we use accidentally use cc. What we need to do is to prevent the use of cc (or put up a dialogue box asking to confirm it is ok to do a cc if a cc is present) .

Got it. That's not a feature that currently exists, so you might want to post this to the Feature Ideas section here. See https://www.googlecloudcommunity.com/gc/Feature-Ideas/gh-p/workspace-ideas-group, and https://www.googlecloudcommunity.com/gc/custom/page/page-id/Workspace-Feature-Ideas-FAQ for how to get access. This will allow it to be upvoted by others and possibly considered as a future feature enhancement.

If you are submitting a feature idea, be sure to explain the problem that you're trying to solve with the feature idea, not just the idea itself. For example, saying "when my users are trying to do 'A', they often get confused by the fact that the buttons to do 'X' and to do 'Y' look quite similar to each other, which leads to this unintended consequence" is far more likely to get fixed than a feature idea that just says "change the color of the button 'Y'".

Cheers,

Ian

Certainly, if group membership can be more effectively handled by non-administrators, you have the option to assign a group manager who can directly manage the addition and removal of members.

Yes, the same issue is still available in Gmail
