Issue with importing between accounts

I'm trying to import emails and contacts from my @gmail account to my @mydomain account. I followed the instructions from this article, specifically the 'get only old messages' part, but ran into an error message:

There was a problem connecting to mail.gmail.com
Server returned error: "We were unable to locate the other domain. Please contact your other provider."

I've already tried following all the advice in this article, to no avail. Does anybody have a clue what I should do?

How to manage multiple email accounts in a single Gmail inbox

The Check mail from other accounts option can be used when you have multiple email accounts and if you want to access all the mail within a single Gmail inbox.

Here are the steps to add another Gmail/GWS account to your main google account:

To add a mail account click on the 'Add a mail account ' option next to 'check mail from other accounts '

  • Make sure POP is enabled in the source account
  • Make sure the less secure app is turned on in the source account.
  • If the less secure apps option is not available, enable 2-step verification and generate an app password, use the app password instead of the password.

  • Email address user name - source mail id
  • If less secure apps is enabled: Password - source mail-id password
  • If 2SV is enabled:  Password - App Password
  • Pop server: Pop.gmail.com
  • Port: 995 (preferred)
  • Always use a secure connection (SSL) - Tick mark if you want to use a secure connection.
  • Label incoming messages- Select if required.
  • Archive incoming messages- Select if required

Hi @Siggi ,

If I understand correctly, both of these accounts are Gmail accounts, but @mydomain is an organization one, is that correct?

The option to which you refer to is using POP based connection to get the messages from the source, so two things need to be done in order to make it work:

- Turn on POP on the source account in the account settings ('Forwarding and POP & IMAP').
- If you have 2 factor authentication enabled, instead of using your normal account password, use app specific password instead (this way you skip 2FA that is not supported in this POP/IMAP scenario).

If you have many users to migrate, and access to the admin console of the destination, instead of importing mails using built-in setting as an end user, you might think about utilizing Data Migration Service available in the console.

Hope this helps!
Have a great weekend ahead,
Marcin

Hey Marcin, thanks for the reply! I'm sorry, but I think I don't quite understand how to proceed.

I do indeed have 2 factor authentication enabled, and I attempted to follow the instructions at the link you provided. Following step 6, I generated an app password, but it seems to be limited to a handful of apps and devices. I tried 'Mail' for 'Mac' (since I'm no a Mac and I'd like to access email), but that's apparently specifically for the Mail app on the mac. I tried the code generated in Gmail, anyway, but no dice.

I'm not sure what to choose there to get a password that's valid for my Gmail. Any insights? 😃

You should have an option to generate with the type 'other' but even if you
generate the password for Mail client it should work fine. Just copy the
whole app password (with the spaces) and paste while you asked for the
account password.

Best,
Marcin

Thanks for the clarification. I tried that, but still got the same error message: "There was a problem connecting to mail.gmail.com. Server returned error: "We were unable to locate the other domain. Please contact your other provider."

Here's a screenshot in case that helps.

(PII Removed by Staff) is my gmail account that I want to import from. The app-specific password that I generated, I got from that account, not from my @mydomain account. I assume that was correct?

YOU are my hero!
I have tried for a couple months to figure it out, and the only thing I had found is to turn on less secured apps, which is no longer available. I too tried the 1st responses a billion times. the "pop.mail.com" was the 100% FIX

THIS person deserves a raise!

Hi @ginnmisc:

@ajojose33333344 (and I, and most other folks you meet here) are just members of the community--fellow Google Workspace admins, like you.

But yeah, @ajojose33333344 definitely deserves a raise, nonetheless for how helpful he is here...

Cheers,

Ian

Thanks for the kind words @icrew  & @ginnmisc  🌟🌟

Hi! I saw how you helped our colleague a year or so ago. I tried to use your steps but am still having trouble. I receive the following error: "Server denied POP3 access for the given username and password." What should I do?

You’re using an app specific password (https://support.google.com/accounts/answer/185833?hl=en), not just the account’s regular password, correct? You have to do that now.

HELP! My Workspace wonʻt allow me to create an app password.

lol Yes, I'm aware youre not on staff. I am a lead volunteer at a local food pantry. Our favorite thing to say if someone does something great, we tell them they get a raise or we are going to double their pay [2 x 0 = $0]. If they drop something (especially a new volunteer) we tell them if they dont watch it we will dock their pay.

I need a hero! They wonʻt take the password of my Workspace email, and I have no option to create an app password.

Marcin you're the best! This was my issue - use case was to forward emailing coming into our support@ email into the inboxes of folks on our support team. This was the final task I was missing, thanks a ton.
