Do App Users Need an Enterprise License if Only the App Creator Has One?

Hi everyone,

I’ve created an AppSheet app that uses an enterprise-level feature: it connects to a cloud-based data source (Google BigQuery). I have an Enterprise license as the app creator.

However, all the users of this app only have Core-level licenses.

My questions are:

  1. Can users with Core licenses still use this app, even though it uses an Enterprise feature?

  2. Or do all users also need an Enterprise license to access and use the app?

In the App Info panel under my account, the app shows "Minimum Plan Required: Starter", which is confusing to me — especially since I’m using BigQuery, which I understand is an Enterprise-only feature.

Currently, I haven’t run into any issues — the app seems to be working fine for all users. I just want to make sure I’m using the app correctly and in line with licensing requirements, so that I don’t run into problems down the line.

Thanks in advance for your help in clarifying this!

It doesn't work like that.  Users are not "assigned" licenses that carry with them.  The app features dictate what license level is required...for the month.  When a user accesses an app requiring an Enterprise plan, your account is expected to have Enterprise level licenses available.  If it doesn't, or it doesn't have enough, AppSheet will inform you to add additional licenses.

The licenses required are all determined at the end of the month and will depend on what apps that user accessed during the month.  If they only accessed Core level apps, then that user would only consume a single Core level license.  If the user accessed a mix of apps, say both Core and Enterprise, then they would require the Enterprise license ONLY.

This likely means that panel hasn't updated yet.  There have been some recent adjustments with regards to Workspace accounts and inclusion of AppSheet licenses.  I am not completely up to speed on how that works just yet.

I hope this helps!

Thanks, that explanation makes sense. I can see how the costs could add up quickly. I have two questions:

  1. Is there a limit to how many devices a single user (using one email address) can sign into the app on? Will each device count as a separate user and require its own license, or will the app recognize these as a single user because they're all using the same email address?

  2. The only enterprise-level feature I currently use is the ability to link the app to Airtable and Google BigQuery. Are there any workarounds for this—such as using Google Sheets as an intermediary—to potentially downgrade the app to a Core plan?
