Can a Google Workspace admin activate and deactivate user accounts?

Hello,

I'm looking at the Google Workspace privileges and I can't find anywhere if the admin can activate and deactivate user accounts?

If it can be done, can you explain how?

Thank you!

Yes, an admin can suspend user accounts (which basically deactivates them). There is an option for it in the admin console user list.

You have a few options to 'deactivate' a user account:

  • Suspend: Account inactive, can't be signed into. All data retained in user account and Google Vault. Licenses are billed at the same rate as active user accounts. Best for temporary inactivity. Learn more about suspending users.
  • Convert to archived user license: Account inactive. All data retained in user account and in Google Vault. Licenses are billed at a highly-discounted rate. Best for long-term inactivity (I like to call this option 'cold storage'), as archived users can be unarchived at any time. Only available on Google Workspace Business Plus edition or greater, and working with a Google Cloud Partner. Learn more about archived user licenses.
  • Delete: Account removed, all data is deleted from user account and Google Vault (unless transferred to another user). No cost. Learn more about deleting users.

I recommend creating a robust user offboarding checklist/process in order to ensure data is retained and your accounts are secured after a user leaves your organization.
